We follow a principle of retaining data only as long as necessary for legitimate purposes, while respecting legal and institutional requirements for academic record-keeping. We categorize data into two main retention classes:

7.1 Permanent Academic Records (Indefinite Retention)

The following information constitutes your official academic record and is retained indefinitely to allow for degree verification, transcript requests, and institutional accountability:

Core Identity and Enrollment Information:

  • Full legal name
  • Student identification number (if assigned)
  • Dates of enrollment and attendance (start and end dates for each course)
  • Program or course of study
  • Academic status changes (enrollment, withdrawal, completion)

Final Academic Assessment:

  • Final course grades and marks
  • Official transcripts and grade records
  • Degree completion records (for graduate students)
  • Academic standing (pass/fail, honors, distinctions)
  • Credits earned and awarded

Essential Documentation:

  • Academic integrity violation records (if any)
  • Formal appeals or grade disputes and their resolutions
  • Official correspondence regarding academic standing
  • Degree conferral documentation (for graduate degrees)

Rationale for Indefinite Retention:

  • Alumni may request transcripts decades after graduation
  • Employers and educational institutions may verify degrees and credentials at any time
  • Professional licensing bodies may require verification of historical academic records
  • Legal or regulatory requirements may necessitate long-term record-keeping
  • Institutional accreditation and quality assurance processes require historical data
  • Protection against credential fraud requires permanent verification capability

This aligns with standard university practices and allows verification of your academic credentials 20, 30, or even 50 years from now.

7.2 Transitory Learning Data (Time-Limited Retention)

The following information relates to the learning process but is not essential for long-term credential verification. This data is retained for a limited period and then systematically deleted:

Data-at-rest Encryptation

  • Data (in Databases) at rest are encrypted using the Advanced Encryption Standard (AES) algorithm, typically AES-256, at the storage level for its servers. to protect it from unauthorized access. This means that all stored data—including files, databases, and backups, is securely encrypted using industry-standard algorithms, ensuring that even if physical storage devices are compromised, the data remains unreadable without proper decryption keys.
  • Data in transit are also secured TLS (Transport Layer Security) protocols, specifically TLS 1.2 or TLS 1.3, which are the modern, secure encryption standards used to protect data in transit. All data transmitted between your device and the Platform is encrypted using SSL/TLS protocols. HTTPS is enforced for all connections (HTTP requests are automatically redirected to HTTPS). Encrypted connections protect against eavesdropping and man-in-the-middle attacks. Your login credentials, personal information, and academic data are encrypted during transmission
